Post a Shift from the Staffing hub when work serves several events and belongs to none of them, such as Friday warehouse prep for a weekend of parties. Crew claim it from the staff portal like any open shift. Its labor cost splits across the events you pick, so no event has to be made up to hold it.
Before you start
- Your plan needs to include staffing. Pro and Team do. Free does not.
- Your seat needs to be able to staff events. Setting pay on a role needs a seat that sees crew pay.
- The roles you need are on your roster with a pay rate. Set a staff role's pay and charge shows how.
- The events the work serves are booked.
Steps
- Open the Staffing hub and click its Shifts tab.
- Click Post a shift.
- Enter a Title, the Day, the Start and End times, and a Place if crew need one. Times are required because there is no event for them to follow.
- Under Who you need, pick a Role and set How many. If your seat sees crew pay, fill in Pay per hour, or click "pay a flat amount" to fill in Pay for the shift. A rate of 0 pays each person their own rate. Click Add a role for more.
- Under Events this serves, search for each booked event by name and click it to add it. With a day entered, the booked events that week are listed first.
- Add a Note for crew if you like, then click Post shift. EventSage posts the shift and tells eligible crew.
Crew see it as "Shift:" followed by your title.
What crew do
Crew open Shifts in the staff portal and find it under Open shifts. They click it, then click Submit claim. A person with Auto-approve shift pickups turned on in their staff record is on the shift at once. For everyone else, the claim waits for you in the Staffing hub.
Change how the cost splits
The cost splits evenly across the events you picked. To change it, open the shift from the Shifts tab. In Events this serves, click Edit split, change the percentages so they add to 100, and save. Reset to even puts them back.
The labor lands on those events' margins. See what an event actually cost shows where it appears. If you link no events, the labor sits on a Shared labor line in the Labor and Cost reports until you do. An event that is cancelled, or not yet booked, also sends its share to Shared labor.
What stays the same
Payroll and the 1099 export count the shift once, under its title. A Shift is not an event, so it never counts as a booking or appears in your revenue.
Something look off?
Work through each check in order. Most fixes take under a minute.
You cannot find Post a shift
- 1 · Check that you are on the Shifts tab of the Staffing hub.
- 2 · If the tab is missing, your seat cannot see projects. Ask the owner to change your role.
- 3 · If the tab says your role can't see Shifts, ask the owner to change that.
The dialog won't post
- 1 · Fill in the Title, the Day, and both times.
- 2 · Pick a Role in each role row.
- 3 · If it says some roles did not post, click Retry. Retry skips what already posted, so nobody is emailed twice.
