Invite a staff member to the staff portal

Email a staff member a link that opens the staff portal, where they see shifts, clock in and send their hours.

The short version

Invite someone from their card on the Staff roster. They get an emailed link that opens the staff portal. There is no password, and the invite makes no teammate and no business. To give someone a login to your own account instead, see Invite a teammate to your account.

01

Before you start

  • The person needs an email address on their staff record. To add one, open the card's menu and choose Edit.
  • Your seat needs write access to crew. By default the owner, admins and managers have it.
  • Your plan needs to include staffing. Pro and Team do. Free does not.

Steps

  1. Open the Staff roster. It's under Settings, then Staff.
  2. Find the person's card and click Send invite. The card reads "Invite sent" with an expiry date, and EventSage emails them.
  3. The staff member opens the email and taps the link. The link accepts the invite, and a second email arrives with a sign-in link.
  4. They tap the sign-in link and the staff portal opens. Their card on your roster now reads "Linked".

What the invite does

The invite email names your business. The invite link works for 14 days. The sign-in link works once and lasts 1 hour. Staff never set a password, so each later sign-in is another emailed link.

The portal has five tabs, Home, Shifts, Messages, Pay and Me. Clock in and out on a shift is the page to send staff once they're in.

04

Cancel an invite

To cancel an invite before it's accepted, click Revoke on the card and confirm. The link stops working, and the person sees that the operator revoked it.

Something look off?

Work through each check in order. Most fixes take under a minute.

Send invite is grayed out

Hover over the button to see why.

  1. 1 · If it says "Your role can view the crew but not send invites.", your seat can't invite. Ask the owner to change the Crew permission for your role. Change what a role can see and do shows where.
  2. 2 · If it says "Add an email to this staff record before inviting.", add the email through Edit on the card's menu.
Nothing arrives
  1. 1 · Open the card's menu, choose Edit and check the email address.
  2. 2 · Ask the staff member to check their spam folder.
  3. 3 · Click Revoke and confirm, then click Resend invite. A card that reads "Invite sent" offers only Revoke.
