Change what a role can see and do

Give a role more access or take some away on the Roles tab, and the change reaches everyone who holds that role.

3 min read
The short version

Open the Roles tab to choose how much of EventSage each role can reach. Set a level for an area and everyone who holds that role changes at once. Only the account owner can do this.

01

Before you start

  • Sign in as the account owner. Admins and managers can open the Roles tab and see the grid, but they can't change it.
  • Decide whether you want to widen a role or narrow it. A role starts on defaults, and a cell you haven't touched is still on its default.
02

Steps

  1. Open Users & permissions. It's under Settings, then Account.
  2. Click the Roles tab.
  3. Scroll to What each seat can do. Each row is an area of EventSage, grouped under Work, Money, People, Stock and Business. Each column is a role.
The Roles tab with the grid of areas down the side and a column for each role.
  1. Click the cell where the area's row meets the role's column.
  2. Choose No access, Can view, Can edit or Full access. The change saves as soon as you choose it.
  3. To put a role back on its defaults, click the small reset control under its name. It shows how many areas you moved. A message confirms the role is back to the default permissions.

A small dot in a cell marks a level you moved off the default.

03

What the four levels mean

No access
Hides the area from that role entirely.
Can view
Lets them see it but not change it.
Can edit
Lets them see and change it, but not delete.
Full access
Lets them see, change and delete.

Two defaults that touch money

Every role can view what things cost you under Costs & margin. Sales and Viewer start with no access to Crew, which holds your roster and what you pay each person. Both are starting points, and you can change either for a role.

A quote's labor cost still shows to every role that can view Costs & margin, because the price is built from it.

05

What never changes

  • The Owner column is locked. The owner's own access can't be edited, so someone can always undo a mistake.
  • Team & roles can't be given to another role. Owners, admins and managers hold it, and anyone with it could make themselves an admin.
  • Payout account, your Stripe and bank details, can be viewed only by you and can't be given to a role.
  • Tax setup, which holds Stripe Tax and the reporting basis, can be shown to other roles, but only the owner changes it.
06

Rename a role without changing its access

The What you call each role card sits above the grid. Click Rename beside a role, type a name and click Save. A rename changes the name on screen and nothing the role can reach.

Something look off?

Work through each check in order. Most fixes take under a minute.

A cell won't open a list

Only the owner gets a list in a cell. Everyone else sees plain text. For the owner, a cell without a list is the Owner column or an area that can never go to that role, such as Team & roles.

A save asks about tasks

Taking task editing from a role asks first, because those seats keep their open tasks and the rules that name them, and they can no longer work them. Read the message, then click Save change or Cancel.
