EventSage keeps two lists for staff. The roster holds your people. Roles and rates hold the jobs you quote, with what you pay for each and what you charge a client. Set both up and every quote prices its staff from your own numbers. The hours your people work then come back to you for approval. The roster and staff hours need Pro or Team. Roles and rates work on every plan.
Add your people
The Staff roster lists everyone you schedule, with their roles, default hourly rate and the last time they worked. You add people one at a time or import a file. Add someone to your staff roster covers the form and what each field does. By default the roster hides what you pay people from Sales and Viewer seats, and the owner can change that for a role.
Set what you pay and charge
Staff roles & rates holds the jobs you quote, like Bartender or Server. Each role has a cost, which is what you pay, and a price, which is what the client is billed. Leave the price blank and EventSage works it out from your cost, your contingency buffer and your Staffing markup. A role with no rate prices at $0, so check each one before you quote. Set what you pay and charge for a staff role has the steps. Whether staffing is taxed is a separate choice in Choose whether staffing is taxed.
Give staff a login
Staff use the staff portal on their phones to see shifts, clock in and send their hours. They sign in from an emailed link and never need a password. Invite a staff member to the staff portal covers the invite. It makes no teammate and no business.
Track and approve hours
Staff clock in and out on their phones, and they can correct their hours after a shift. Clock in and out on a shift is the page to share with them. Hours nobody confirms are paid as scheduled, and you approve whatever staff send. Approve your staff's hours shows where.
