Choose whether staffing is taxed

Set how EventSage taxes staff billed as their own line, and see why staff inside a bundle follow the bundle's tax.

The short version

You choose how staff are taxed in the Staff and packages card on the Sales tax page. That answer covers staff billed as their own line. Staff inside a bundle are taxed with the bundle, whatever this answer says.

01

Before you start

  • Set your sales tax rate first. Until you have a goods tax, the Staff default row reads "Staff follow your goods tax, and you have none set yet. Set your rate first." See Set your sales tax rate.
  • Some states tax staffing when it is sold with taxable goods, some always, some never. Confirm yours with your tax professional.
  • By default only an owner or admin can change the answer. If you charge tax on your own rates, EventSage holds your first quote, proposal or invoice until staffing has one.
02

Steps

  1. Open Settings, then Sales tax under Getting paid. Scroll to Staff and packages.
  2. Beside Staff default, click the pencil (Edit). The Edit tax class window opens for your goods tax.
  3. Under Applies to, set the Staff switch. Off leaves staff untaxed. On taxes staff on quotes that include taxed goods.
  4. To tax staff on every quote, keep Staff on, open More options and tick Charge staff on every quote.
  5. Click Save. The Staff default row now reads your answer.

What each answer does

Never taxed.
The Staff switch is off. Staff billed as their own line carry no tax.
Taxed with goods.
The Staff switch is on. Staff are taxed only on a quote that also has taxed goods. The row reads "Taxed on quotes that include taxed goods."
Always taxed.
The Staff switch is on and Charge staff on every quote is ticked. Staff are taxed on every quote. The row reads "Taxed on every quote."

The tax list and the change history use these three words. The Is staffing taxed? question under Your rate records the same answer at first setup, with the choices Taxed, Taxed only with taxable goods and Not taxed.

Staff inside a bundle follow the bundle

A bundle is one sale with one price and one tax. EventSage taxes it whole at the bundle's own tax class, staff included. That holds whether the bundle is a flat fee, a set rate or priced from its contents. The card says so with "Staff inside a package are taxed with the package."

To keep a role untaxed, bill it as its own line outside any bundle, with the Staff switch off.

05

Tax one role differently

A role can carry its own tax class. Set it in the role's Tax class list in Staff roles & rates. That class decides for the role when it is billed as its own line. A role with none uses the Staff default.

Something look off?

Work through each check in order. Most fixes take under a minute.

Staff are still taxed after you turned Staff off
  1. 1 · Check whether the role sits inside a bundle. Staff inside a bundle are taxed with the bundle.
  2. 2 · Check whether the role has its own tax class in Staff roles & rates. That class decides for the role instead of the Staff default.
There is no pencil beside Staff default
  1. 1 · Your role may be view-only. By default only an owner or admin can change tax classes.
  2. 2 · Read the row. If your goods default is a combination of taxes, use the Staff default picker under Default taxes. If your goods tax is turned off, turn it back on from the Tax classes list. If you have no goods tax, set your rate first.
