Your standard terms are the rules a client reads before saying yes, such as payment, cancellation and travel. Write them once in Terms & policies, and EventSage prints them on the quote and invoice PDFs you open from Quick Quote and on the Terms page of a proposal you create there.
Before you start
By default only the account owner can write the terms. An admin sees them as read-only text, and other roles can't open the page. A role that sends documents from Quick Quote still prints your real terms on them.
Steps
- Open Settings, then Terms & policies. It's under Documents.
- Find the Terms & conditions card and click in the Standard terms box.
- Write your terms. Include your payment terms, cancellation policy and travel fee policy. Add disclaimers, such as BYOB rules, if they apply to you.
- Stop typing. The box saves as you type, and there's no Save button. The header shows Saving…, then All changes saved.
What prints until you write your own
The box starts with the terms EventSage ships. They ask for a 50% non-refundable retainer to secure the date, with the balance due 7 days before the event. They say a client who cancels within 30 days of the event forfeits the full retainer. They say prices don't include alcohol, that the service is BYOB, and that travel fees may apply beyond 30 miles.
If you've never written your own, nothing is saved yet, and those are the terms clients see. The first edit saves everything in the box as yours. Read the shipped terms before you send a quote, because they make promises about your retainer and cancellations that may not match your business.
Clearing the box doesn't remove the terms. An empty box brings the shipped terms back on your documents.
Change the terms for one document
In Quick Quote, the Use default Terms & Conditions on invoice box is ticked by default. Untick it to type Custom Policies for This Invoice. Those replace your standard terms on that document only. Leave the custom box empty to print no terms block.
Where contract language goes
Standard terms are the same for every event, so a rule that only applies to one client doesn't belong here. They are also not the agreement a client signs. Contract wording lives on a contract template.
