Create a contract template

Write the agreement a client signs, save it, and mark it as your default so it can go out when a client reserves a date.

The short version

A contract template is the agreement a client signs, written once. EventSage fills in the client, the event and the quote total when it sends a contract.

01

Before you start

A role that can't change contract templates can only read them. Your standard terms are separate and print on documents from Quick Quote.

02

Start the template

  1. Open Contract templates, under Settings then Documents.
  2. Click Use a starter template and pick "Client Services Agreement, Full Service", or click New template to start blank. With no templates yet, the second button reads Start from blank.
  3. Click the name above the editor to rename it. A blank template starts as "Untitled template".
The Contract templates screen with the Auto-send on accept switch, the template list and the Use a starter template and New template buttons.

The starter marks facts it can't fill in with square brackets, such as your business details, the retainer and the governing-law state. EventSage doesn't check for them, so a bracket left in reaches the client as written. Clear every one before you set the default.

03

Write or paste the agreement

  1. Type in the editor, or click Import, then paste on the Paste text tab or choose a .docx, .pdf, .txt or .md file of up to 10 MB on the Upload file tab.
  2. Check the preview. If the editor already has text, choose Add below the current content or Replace the current document, then click Import.
04

Add fields, fill-ins and clauses

Insert field
Adds a merge field that fills from the event at send. The groups are Client, Event, Business, Quote (linked quote only) and Guarantee (tolerance contracts only).
Fill-in field
Adds Blank for the signer, or a client detail the signer can correct, which is Name, Phone, Company or Address. A correction updates the contact at signing, and anything priced stays locked.
Insert clause
Adds a starter clause. Read each one before it goes out, because several are marked PENDING ATTORNEY REVIEW.

A red pill reading "Unknown field" isn't recognized. Delete it and add the field again from Insert field.

Quote total and Quote per-person are labeled "(includes sales tax)" or "(excludes sales tax)" to match your setup. A banner warns you if your quotes carry no tax and the agreement never mentions it, but it never blocks a save or send.

05

Save it and set the default

  1. Click Save. The line under the name reads Unsaved changes, then All changes saved.
  2. Click Preview to see what a signer sees.
  3. In the template list, open Template actions and click Set as default. A Default badge appears. On a narrow screen the list becomes a picker with no actions menu, so use a wider window.

A new template isn't your default. With no default and no contract chosen on the proposal, nothing sends when a client reserves.

06

Choose which proposals use it

Every proposal uses your default unless it names another. To name one, use the Contract list under Reserve settings in a proposal's Proposal settings panel, or in a proposal template's Template settings panel, as Build a proposal template clients can book from shows. Pick Account default to follow your default.

A proposal copies its template's choice when it's created, so later changes don't reach existing proposals. A client who accepts a shared quote always gets your default.

Something look off?

Work through each check in order. Most fixes take under a minute.

A button is grayed out
  1. 1 · Save
Nothing has changed since the last save.
  2. 2 · Set as default
    It already is the default.
  3. 3 · Delete
It's grayed out on your default and on your only template. EventSage also refuses to delete a template any contract uses, voided ones included, and says how many.
