How Stripe Tax decides what to charge

What Stripe Tax prices, when your backup rate bills instead, and how the reporting basis files each sale.

3 min read
The short version

With Stripe Tax on, Stripe works out the tax on an invoice from the event's full venue address. When Stripe can't, EventSage bills your backup rate and tells you. Let Stripe Tax work out your sales tax turns it on.

01

Before you start

  • Stripe Tax has to be on. Report tax to Stripe when appears only then.
  • Only the account owner can change the basis. By default an admin can view it.
02

Choose when sales reach your Stripe tax reports

  1. Open Settings, then Sales tax under Getting paid.
  2. In the How tax is calculated card, find Report tax to Stripe when.
  3. Choose I send the invoice (accrual) to count a sale when the invoice goes out, or The client pays (cash basis) to count it when the money arrives.
  4. The choice saves at once with the message "Tax reporting basis updated."
The How tax is calculated card with Stripe Tax chosen and the Report tax to Stripe when choice set to I send the invoice (accrual).

The basis decides only which month a sale shows up in your Stripe tax reports. It never changes how much tax you charge. Match it to how you file.

03

What Stripe prices

Stripe prices the main invoice of a quote made while Stripe Tax is on, plus its add-ons and a client's form picks. A quote made earlier keeps your own rates, and so do its invoices. One-off invoices use your own rates too.

A scope change that raises a Stripe Tax quote's price can't be made yet, and scope-change invoices after booking use your backup rate.

04

When your backup rate bills instead

Your backup rate bills when:

  • The event has no venue state and ZIP.
  • The venue address came from your client and you haven't confirmed it.
  • The event is in a state you haven't registered in.
  • Stripe Tax isn't ready on your Stripe account, or Stripe doesn't answer in time.
  • The invoice has no per-line tax data Stripe can price.
  • You update or revise a main invoice beside an add-on, form pick or scope-change invoice.
The Sales tax screen's Your rate card, the backup rate EventSage uses when Stripe cannot price an invoice.

The owner gets a bell, and the invoice shows the cause. The bell is titled An invoice was taxed at your backup rate, or An invoice collected no sales tax when the invoice billed no tax. Stripe prices an invoice once, so a fallback invoice keeps its backup figure.

05

When a long wait reprices an invoice

A Stripe calculation lasts 90 days. If an invoice is sent or paid after that, EventSage can ask Stripe to price it again within about a week and report the sale from the new figure. What your client paid never changes. If Stripe can't price it again, the sale stays out of your Stripe report but stays on your Sales tax report.

06

Filing and cost

You still register, file and pay the tax. Stripe Tax has a fee, listed on Stripe's tax pricing.

Something look off?

Work through each check in order. Most fixes take under a minute.

An invoice used your backup rate
  1. 1 · Open the invoice and read its note, which names the cause.
  2. 2 · Fix an address or state cause for the next invoice. Confirm the venue address on the event, or add the state under States you’re registered to collect in on the Sales tax page.
  3. 3 · For an add-on invoice with nothing paid on it, follow the note's advice to void it and create it again from the Billing tab.
An invoice says its tax is out of date

A draft whose lines changed after Stripe priced it shows a notice and a Recalculate tax button, and it can't be sent until you use it. Without the button, your role can't edit invoices.
