Staff clock in and out from the staff portal, a web app that opens in their phone's browser. A punch records the time and fills in their hours. It sends nothing to you, and hours nobody confirms are paid as scheduled. Share this page with staff once they have an invite. Approve your staff's hours covers your side.
Before you start
- The staff member has accepted their invite and signed in to the staff portal.
- They hold the shift. Only the person assigned to a shift can punch on it.
Steps
- The staff member opens the shift from Home.
- On the Plan tab, the Time on shift card has a Clock in button. They tap it on arrival.
- At the end of the shift they tap Clock out. The portal moves to the Wrap tab.
- The Confirm your hours card fills in from the punches. They fix anything wrong in Started, Finished and Break (minutes), or tap Enter a total instead and type the hours.
- They tap Send for approval. The request waits for you, and they can withdraw it and send again.
EventSage stamps each punch itself, so a punch can't be backdated. To correct a time, staff send hours in step 4. Staff who send nothing are paid their scheduled hours. On a shift that pays a flat amount, the hours are recorded and don't change the pay.
Put the portal on an iPhone home screen
On an iPhone or iPad, notifications work only from an icon on the home screen. The staff member opens the portal in Safari, taps Share, taps Add to Home Screen, and opens EventSage from the new icon. Then on the Me tab they tap Turn on under Notifications. Android Chrome needs no install.
Track time outside an event
Warehouse days, deliveries, prep and admin can be punched too. This is off until you turn it on, and only the owner and admins can change Shift rules by default.
- Open Shift rules. It's under Settings, then Staff.
- In the Non-event time card, turn on Track non-event time for new staff. That covers people you add from then on.
- For people already on the roster, click Turn on for everyone. It applies at once and skips anyone archived.
- Staff then see a Time clock tile on Home. It opens a screen with Clock in, Clock out and Add time.
To change one person, use Tracks non-event time on their record, which Add someone to your staff roster covers. You still approve what staff log.
Something look off?
Work through each check in order. Most fixes take under a minute.
The shift is no longer theirs
A shift that was released or reassigned refuses new punches with "This shift is no longer yours, so clock events are no longer accepted." Check the event's Staff tab to see who holds it now.
It says already clocked in or out
"You're already clocked in on this shift." and "You're already clocked out of this shift." mean the punch went through the first time. Nothing is lost, and the History list on the Time on shift card shows each punch.
There is no Time clock tile
The tile shows only once non-event time is on for that person. Turn it on in Shift rules as above, or switch on Tracks non-event time on their record.
Location is blocked
Location is best effort. If the browser refuses it, EventSage still logs the time.
