Add a contact

Enter one person by hand or import a spreadsheet, and keep a single record for each email address.

The short version

A contact is one person or company you deal with, and each one gets a single record.

01

Before you start

A contact needs a name and one way to reach them, such as email, phone, LinkedIn URL or social handle.

02

Steps

  1. Open Contacts.
  2. Click Add contact. The New contact form opens.
The New contact form with fields for name, relationship, category, email, phone and company.
  1. Type the Name.
  2. Fill in at least one of Email, Phone, LinkedIn URL or a handle under Social.
  3. Check the Relationship. It starts as Prospect, so change it if needed.
  4. Add anything else you know, such as Category, Company, Lead source, Next follow-up, Notes and Tags. Press Enter or type a comma to finish each tag.
  5. Click Add contact. The toast reads "Contact added".
03

Import a spreadsheet instead

Click Import on the Contacts screen, then Choose file in Import contacts (CSV). Only the name column is required. EventSage also reads email, phone, company, position, notes, the address columns (address, address line 2, city, state, zip, country), the link columns (linkedin, website, instagram, twitter, facebook, tiktok), lead source, relationship and tags. Put several tags in one cell, separated by a semicolon or a vertical bar.

A preview counts the new, updated and held contacts. Click Import to finish. A relationship that EventSage does not recognize imports as Prospect, and an import never starts an automation built on Contact label changed.

04

What a second import changes

EventSage matches each row to an existing contact by email, exactly as written, so a capital letter makes a different address. A row with no email always creates a new contact.

  • Name, phone, company and the other detail columns take the file's value whenever the cell is not blank.
  • Notes and tags fill in only when the contact has none.
  • Email, lead source, relationship and category never change from a file.
  • A blank cell never clears what is stored.
  • A contact on a live or disputed invoice, or on a signed or half-signed contract, is held. A file only fills its empty fields.

An old export can overwrite later edits, so import a fresh one.

05

One email, one contact

EventSage keeps one contact per email address. A staff record follows the same rule, so adding a staff member with an email a client or vendor holds is refused, and that contact is never turned into staff. Give the staff record a different email, as Add someone to your staff roster describes.

Something look off?

Work through each check in order. Most fixes take under a minute.

The contact will not save
  1. 1 · Read the toast. "Name is required." means the name is blank, and a request for a way to reach them means you need an email, phone, LinkedIn URL or handle.
  2. 2 · If it says to ask an owner or admin, ask one or use a different email.
  3. 3 · If it says the contact is archived, close the form, turn on Show archived and click Restore.
  4. 4 · If it names your staff roster, update them there or use a different email.
  5. 5 · Otherwise, close the form, open whoever has that email and click the pencil (Edit contact).
The import skips rows or ignores a column
  1. 1 · Check the preview, and the message after you click Import. Rows marked "skipped (no name)" have a blank name, and "No rows detected" means the first line is not a header row.
  2. 2 · Read the "Ignored column" line. Rename any column to match the list above.
  3. 3 · If the screen says "View only. Your role can't import contacts. Ask an admin.", ask an admin to run the import or change your role.
