Move a lead through your stages

Move a lead from first inquiry to booked, complete or lost, and learn which move runs a pricing check.

The short version

A stage is a step on the way from first inquiry to a finished event. You move a lead by choosing a stage from its card, and the card lands in that column. Stages sit inside four fixed milestones, which are Leads, Booked, Complete and Closed lost. You choose the names of the stages inside them.

01

Before you start

The Lead Funnel board shows lead stages only. The stage menu on a card lists just the columns on screen, so two switches at the top of the page matter.

  • Turn on Full journey to move a card into Booked or Complete.
  • Turn on Show closed-lost to move a card into Closed lost.

You can also drag a card onto another column. It runs the same check as the menu.

Steps

  1. Open Leads.
  2. Turn on the switch for the stage you want, if it is not on screen.
  3. Click the stage badge on the lead's card. A menu headed Move to stage opens, with a checkmark on the current stage.
A lead card on the Lead Funnel with its stage menu open under the heading Move to stage and a checkmark on the current stage.
  1. Click the stage you want. The toast reads "Moved to" and the stage name, and the card appears in that column.

To rename the steps inside a milestone, see Rename your project stages.

03

The pricing check

A lead needs an event date, event hours and a guest count to move to Booked or Complete. If one is missing, the card stays put and a toast reads "Missing required pricing context" followed by what is missing. Event hours is the Service hours field on the lead.

No other move runs this check. Moves between lead stages, between booked stages, from Booked to Complete and into Closed lost skip it.

04

A paid deposit books the lead for you

When a client pays the deposit invoice, the lead moves to Booked on its own, with no drag needed. Signing the contract also books a lead whose deposit was already paid. An add-on or scope-change invoice never books anything, and a second paid invoice changes nothing.

05

What a move can start

A move into Booked, Complete or Closed lost can start automations built on Project booked, Project completed, Project closed-lost or Stage changed. Check those automations before you move a card as a test.

06

Bring a lost lead back

Choose any lead stage on a Closed lost card to put it back in the funnel. The event returns to your calendar.

Moving a card into Closed lost takes off the crew whose shifts have not started and emails them. Restoring does not put them back. The event's Staff tab lists who was taken off, so add each person again there. A warning names anyone still on it who is double booked.

Something look off?

Work through each check in order. Most fixes take under a minute.

The move is refused
  1. 1 · If the toast starts "Missing required pricing context", open the lead's workspace and fill in the event date, Service hours and guest count. Then move the card again.
  2. 2 · If the toast says "Your role can only change events that are still in the pipeline", your seat is a sales seat. A sales seat can change a lead while it sits in a lead stage or in Closed lost, so it can book a lead but cannot edit it afterward. Ask an owner or manager to make the change.
A lead or a stage is missing
  1. 1 · Clear the search box.
  2. 2 · Click Show everything if a banner says some leads are outside the date window.
  3. 3 · Turn on Show closed-lost for a lost lead, or Full journey for one that has booked.
