EventSage sends email three ways. You write some yourself, as templates. EventSage sends others for you, like invoices, contracts and shift notices. Workflows send the rest on their own when something happens, such as a new inquiry. Email templates, System emails and Workflows all sit in Settings, under Emails & automation.
Write an email template
A template is an email you write once and reuse, with smart fields that fill in each client's name and event details. Keep the emails you send often in Email templates, and a workflow can send any of them. When you edit a template, every workflow that uses it changes with it. Voice & tone teaches SageAI to draft emails that sound like you. Write an email template has the steps.
Reword the emails EventSage sends
Invoices, quotes, contracts, reminders and shift notices go out in your brand colors and logo. You can change what they say in System emails. The layout, the links and the amounts stay EventSage's, so a reworded email still carries the right pay link and the right total. Reword the emails EventSage sends for you shows how.
Build a workflow
A workflow starts when something happens, then runs its steps in order. A step can send an email, create a task, send a form, or split into a yes path and a no path. Build them in Workflows, which by default only the owner and admins can open. Start with one, such as a reply to every new inquiry. The Free plan allows 1 active workflow, and Pro and Team allow as many as you like. Workflow emails leave from the owner's address and carry an Unsubscribe link and your postal address. Build a workflow that sends emails for you walks through it.
The Standing rules group at the bottom of the page holds one setting that isn't a workflow. The Flag past clients as stale switch flags past clients you haven't heard from for a set number of days. It is off until you turn it on.
Check an automation before you turn it on
A live workflow sends real email to real people, so read it before you turn it on. You can see what starts it, when each step fires, and whether its emails wait for your approval. Check an automation before you turn it on includes a SageAI dry run that changes nothing.
