Add a lead from a call or referral

Enter a caller or a referral as a new lead so it sits on your board beside leads from your inquiry form.

The short version

A lead is a person asking about an event. Leads from your inquiry form arrive on their own, as Set up your lead form describes. For someone who phoned, texted or came through a referral, you enter the lead yourself with New Project. It lands in the lead stage marked Default, ready for a quote.

01

Before you start

Have the client's first name and email. Both are required. The date, guest count and hours can wait, though a lead needs them before it can book.

If the person is already in your contacts, you can start from their record instead. Open the contact, find the Projects card and click New. That form asks only for the Event date, Event type, Guest count and Notes, and it needs an email on the contact first.

Steps

  1. Open Leads. The page is titled Lead Funnel.
  2. Click New Project. The New project form opens.
The New project form with an Existing contact picker, client name and email fields, and event date, guest count and time fields.
  1. If the person is already a contact, pick them in Existing contact. Their name, email and phone fill in, and the lead links to that contact. Skip this for someone new.
  2. Type the First name and Client email. Add the Last name and Phone if you have them.
  3. In the Event section, add the Event date, Guest count, Start time and End time. Service hours fills in from the two times. Add the Event type, Venue and Notes if you know them.
  4. Click Create project. The toast reads "Project created" and the lead opens in its workspace.

If you type a venue address by hand, EventSage offers to keep it with Save to library.

What a new lead starts with

The lead starts in the stage marked Default, called New inquiry until you rename it in Rename your project stages.

Creating a lead does not add the person to Contacts. A name, email and phone typed into the form stay on the lead. To keep them in your list, add a contact first and pick that contact in Existing contact when you create the lead.

Adding a lead sends nothing to the client. An automation you built on Project created does run, so check any automations that email on that trigger before you enter a test lead.

04

What a lead needs before it can book

A lead cannot move to Booked or Complete from the board until it has an event date, event hours and a guest count. The event hours are the Service hours field. Move a lead through your stages covers the check and the message you see when something is missing.

Something look off?

Work through each check in order. Most fixes take under a minute.

The lead will not save
  1. 1 · Read the toast. "First name and email are required." means one of them is blank.
  2. 2 · If the toast starts "Required fields missing", it names a field your business marked as required. Fill it in.
  3. 3 · If the form saved but you cannot find the lead, use the next section.
You cannot find the lead on the board
  1. 1 · Clear the search box. It matches leads, clients and venues, so a leftover word hides the new card.
  2. 2 · Look for a banner that says some leads are outside the date window. Click Show everything.
  3. 3 · Check the stage. The board shows lead stages only, so a lead that was moved on sits behind Full journey.
