Add an item to track in inventory

Create an item in your Items library, then file it to a storage location so it shows on Inventory.

2 min read
The short version

Add items in the Items library. Inventory has no Add button, because it lists only the items you already track. Inventory is part of the Pro and Team plans.

01

Before you start

You need Can edit on Price list. Without it the editor opens as view only.

02

Add the item

  1. Open Items. It sits under Settings, then Libraries.
  2. Click Add. The editor opens as New item.
  3. Type a name in Name this item and pick a Category.
  4. On the Cost & price tab, enter what the item costs you.
  5. Click Save.

The category decides how the cost is read and priced, and changing it later can change the item's price. The labels in the cost card follow the category. A count item asks Each one costs you, and an item sold by the container asks That container costs you.

03

Track it in inventory

An item is tracked when it has a storage location, or when its ownership is Owned, Rented or Both. A storage location works for every item that can hold stock, so the steps below use it.

  1. Open the item in Items.
  2. Click the Stock & sourcing tab.
  3. In the Storage location card, open the picker and choose a place. It reads "Unfiled" until you do. If you have no locations yet, click Add one to make the first.
  4. Click Done.

The item now appears on the Stock tab of Inventory.

The Inventory screen with its Stock, Demand, Shopping, Vendor orders and Count inventory tabs.
04

Count what you own

Glassware, linens, furniture, bar tools and other items also show an Ownership & Stock card on the same tab. It offers Not tracked, Owned, Rented and Both. Choosing Owned or Both tracks the item without a location. For an owned item you can set a Starting count on a new item, or see On hand and click Adjust count on an existing one. Restock threshold sets the level that flags a restock. Rented and Both add a Rental vendor.

Recipes, cocktails and services hold no stock, so they never show a storage location.

05

Bring in items you don't track yet

The Count inventory tab starts a count with the Start a count button. Tick Include items I don't track yet to add items you haven't filed anywhere. It stays off until you pick a category.

Something look off?

Work through each check in order. Most fixes take under a minute.

An item isn't on Inventory
  1. 1 · Check your plan. On a Free plan, Inventory shows "Inventory is a Pro feature" with an Upgrade to Pro button.
  2. 2 · Check that the item is tracked. An item with no ownership and no storage location is not.
  3. 3 · Set the filters at the top of Stock to All ownership and, if shown, Everywhere, turn off Below threshold only, then search by name.
  4. 4 · Check the category. A recipe, cocktail or service never appears on Stock.
  5. 5 · Check that the item isn't archived. Archived items stay hidden unless you switch on Show archived in Items.
