Choose how quotes show fees and round prices

Decide whether your core fee is its own line or folds into bundle prices, name what clients read, and set how prices round up.

2 min read
The short version

Three groups of settings on Pricing structure change what a client reads on a quote, proposal or invoice. They set the wording, whether your core fee is its own line, and how prices round. Rounding always goes up, so it raises what the client pays.

01

Before you start

By default only the account owner can change these settings. The core fee is mileage, overhead and prep. Staffing is billed on its own line either way.

Steps

  1. Open Pricing structure. It's under Settings, then Pricing.
  2. Under What clients see, type the heading for your bundle lines in Bundles heading. The screen says "Leave blank to use Packages."
  3. Under Core service fee, decide how the fee shows. Turn on Disburse core costs to fold the fee into your bundle prices. Leave it off to show the fee as its own line.
  4. For a separate line, type a Core fee label and, if you like, a Core fee description.
  5. Under Price rounding, pick a step for each of Staffing, Equipment, Bundles, Services and Core Fees. The choices run from Nearest $1 to Nearest $100, and No rounding keeps the exact price.
  6. Wait for All changes saved at the top.

What the core fee is

The core fee is your mileage, overhead and prep, added together. Disburse core costs changes only how the fee shows. It never changes the tax, and it applies on order pages, quote templates and proposals as well as in the calculator.

The label starts as "Core Service Package". Clients read the label only while the fee is its own line. The description sits under that line on quotes and proposals, and never on invoices.

To keep overhead and prep off new quotes, turn off Charge overhead and prep on new quotes in the same group. Mileage still bills. Add your rent and other overhead covers the overhead side.

How rounding works

Each price rounds up to a multiple of its step. At Nearest $5, a bundle that calculates to $1,212.40 prices at $1,215, and the client pays the difference. A proposal rounds a bundle's price to the Bundles step, the same as the calculator does. A proposal a client already holds keeps the price it was sent with.

Something look off?

Work through each check in order. Most fixes take under a minute.

A label or description does not show
  1. 1 · A change never rewords a quote a client already has.
  2. 2 · With Disburse core costs on, the fee is folded into your bundle prices and has no line of its own, so there is nothing to label.
  3. 3 · The description never appears on invoices.
Prices look higher than cost plus markup
  1. 1 · Look at Price rounding for a step on that category.
  2. 2 · Rounding only goes up. Choose No rounding to see the exact price.
