Set the store you buy an item from

Give an item a default store so shopping lists file it there, and keep your list of stores tidy.

2 min read
The short version

Give an item a default store and your shopping lists file it under that store, so one trip covers one list. You set the store on the item's Stock & sourcing tab in Items.

01

Before you start

You need Can edit on Price list. Without it the item opens as view only and its fields stay locked.

02

Steps

  1. Open Items. It sits under Settings, then Libraries.
  2. Click the item to open its editor.
  3. Click the Stock & sourcing tab.
  4. In the Purchasing card, open Default store and pick a store. It reads "Unassigned" until you pick one.
  5. Click Done.
An item's Stock and sourcing tab with the Purchasing card, its Default store field and Manage stores.

An existing item saves each change as you make it, and Done closes the editor. A new item saves when you click Save.

Add, rename or remove a store

Each business keeps its own list of stores. Every store dropdown shows it in the order you set, and buy lists group by store in that same order.

Click Manage stores beside Default store to open the Stores dialog. The button is hidden from a seat that cannot change the list.

  • Add a store by typing its name in the Add a store box and clicking Add.
  • Rename a store with the pencil beside it. Type the new name and press Enter.
  • Move a store up or down with the arrows beside it.
  • Remove a store with the trash icon, then Remove. Click Keep it to back out.

Removing a store takes it off the list and nothing else. Items already filed under it keep the name until you change them.

Renaming a store onto a name already on your list asks whether to merge the two. The dialog says how many items move and that the merge cannot be undone. Click Merge to go ahead or Cancel to stop.

Find the list

Each event has its own buy list, grouped by store. You can move a line to a different store on one event, and that change stays on that event.

On a Pro or Team plan, the Shopping tab on Inventory combines every event in a date range into one list. It groups by store and subtracts what you already have on hand.

Something look off?

Work through each check in order. Most fixes take under a minute.

An item lands under the wrong store
  1. 1 · Open the item and check Default store on the Stock & sourcing tab. An item with no default store reads "Unassigned".
  2. 2 · Check the event's own buy list. A line moved to another store there stays on that event.
  3. 3 · Open Manage stores and look for the same store spelled two ways. Rename one onto the other and click Merge to join them.
