Set your markups and contingency buffer

Type the contingency buffer and a markup for each kind of cost, and every quote you price from then on starts from your numbers.

The short version

Your markups and contingency buffer live on one screen, Pricing structure. The buffer is a cushion added to each cost first, and a markup goes on top.

01

Before you start

By default only the account owner can open and change these numbers. Other roles see "Pricing structure isn't available to your role" instead.

02

Steps

  1. Open Pricing structure, under Settings, then Pricing.
  2. In Contingency buffer (%), type the percentage to add to every cost before any markup, from 0 to 100.
  3. Under Markup (%), find the row for a kind of cost, as covered below.
  4. Type a number in that row's % markup field. The row shows its margin as "= N% margin".
  5. To give one category its own markup, click Set a different markup for some categories under Items. In its row, type a % markup, or turn on Sell at cost to bill it at exactly your cost, with no buffer.
  6. Wait for All changes saved at the top. Changes save as you type.

What each row marks up

Staffing
Covers what you pay staff.
Equipment
Covers the per-use cost of your gear. Each piece can carry its own markup.
Mileage
Covers travel beyond your included miles.
Prep/Admin
Covers planning, shopping, prep and setup hours.
Overhead
Covers each event's share of your yearly costs.
Bundles
Covers the cost of everything inside a bundle. It replaces item and category markups inside that bundle, and one bundle can carry its own.
Items
Covers products you sell on their own. Inside a bundle, the bundle's markup applies instead.

A category set to Sell at cost bills at cost in a bundle or out of one.

A price you type yourself

A price you type on a piece of equipment, a staff role or a bundle's flat fee is the price the client is billed. EventSage adds no markup to it. Price rounding still rounds a staff role's or a bundle's typed price up when you set a step. A piece of equipment's typed price is never rounded. EventSage adds the buffer only when you tick Apply contingency buffer beside it. The box starts unticked on a new row, and a saved row keeps its setting. A flat fee per event never takes the buffer, and one with One of these serves up to set bills once per that many guests, rounded up, so 110 guests on one that serves 50 bills it three times.

Something look off?

Work through each check in order. Most fixes take under a minute.

A price comes out higher than the number you typed
  1. 1 · Open the equipment piece, staff role or bundle that holds the price.
  2. 2 · Look for Apply contingency buffer. When ticked, the buffer goes on top of your typed price.
  3. 3 · Untick it.
  4. 4 · Check that row in Price rounding on Pricing structure. A step rounds the price up to its next multiple.
  5. 5 · For a bundle, check One of these serves up to. A bigger event bills the fee once per that many guests, rounded up.
A 0% markup still adds money
  1. 1 · At a 0% markup the buffer still applies, so the price sits above cost.
  2. 2 · Under Items, click Set a different markup for some categories, then turn on Sell at cost for the category, which bills at exactly your cost.
Pricing structure isn't available to your role
  1. 1 · Ask the account owner to make the change. By default only the owner can open this page.
