Create a bundle

Build a bundle from items, staff and equipment, choose how it charges, and save it once so it is ready to quote.

The short version

A bundle groups items, staff, equipment and services into one line on a quote. Build one in Bundles and save it once. Later changes save as you type.

01

Before you start

Add your items, equipment and staff roles and rates first. A bundle with a typed price can start empty, but until something is inside it, EventSage shows what it charges, not what it earns.

02

Name the bundle and choose how it sells

  1. Open Bundles, under Settings then Libraries.
  2. Click New bundle. The editor opens on Basics.
  3. Type a Bundle name. The bundle can't save without one.
  4. Under How it sells, choose how it reaches a quote.
A new bundle's Basics section with the Bundle name field and the How it sells choices Core, Add-on and Featured.
Core (always on)
Included in every quote.
Add-on (selectable)
One you pick per event in Quick Quote. Clients can add or drop it on a proposal.
Featured (proposal headline)
Headlines the proposal. A lower Display order appears earlier.
03

Add what goes inside

  1. Click Add items at the foot of Basics.
  2. Click Item, Staff, Equipment, Service or Bundle.
  3. Pick what the line holds and how much of it the bundle uses.

A Service line is a fixed quantity per event. A Bundle line nests one bundle inside another, as Put one bundle inside another explains.

04

Set how it charges

  1. Click Set pricing. The step opens on How this charges.
  2. Click the card that matches how you sell it.
The How this charges step showing five pricing cards: Sum of items, Scalable set rate, Per guest, Per guest · hour and Flat fee.
  1. Fill in the fields the card shows.

The five cards charge like this.

Sum of items
Adds up what's inside and applies your markup.
Scalable set rate
Sells one price up to a size you set, then charges for extra guests or hours.
Per guest
Charges one rate for every guest.
Per guest · hour
Charges one rate that counts guests and hours.
Flat fee
Charges one amount per event, hour, staff member or station. Per staff member, you also name the staff role the price follows.

Help me choose recommends a card after a few questions and sets nothing until you click it.

A price you type is what the client pays, rounded up by Price rounding when you set a step, and the contingency buffer joins it only if you tick Apply contingency buffer, which starts off. A flat fee per event never takes the buffer. EventSage taxes a bundle whole at its own tax class, staff inside included, and you pin a Tax class under Limits & tax only for non-standard goods, alcohol excise or exempt items. How markup, margin and the buffer set a price covers the rest.

05

Present it and save it

  1. Click Configure presentation.
  2. Leave Show item breakdown to clients on to let clients expand "See what's included".
  3. Write a Client-facing description.
  4. Click Save bundle. The panel stays open on Tasks, and the bundle now saves as you type.
  5. Click Done when you finish.

Something look off?

Work through each check in order. Most fixes take under a minute.

The bundle won't save or a line disappears
  1. 1 · The name is empty
Type a Bundle name under Basics.
  2. 2 · A price per staff member has no role
Choose the role under Which staff it follows.
  3. 3 · A Scalable set rate with your own rates has a blank rate
Fill it in. A rate of 0 is fine if extra guests or hours are free.
  4. 4 · A staff line holds a fraction
A staff line needs a whole number.
  5. 5 · A line had nothing picked
The first save drops a line with nothing chosen. Add it again and pick what it holds.
